We are seeking an experienced Air Freight Coordinator to manage all aspects of air cargo shipments, from initial client communication and booking to final documentation. Responsibilities include quoting clients, arranging airline bookings, preparing Air Waybills (AWB) and customs documents, and ensuring timely shipment updates. The ideal candidate must have strong knowledge of air freight procedures, international regulations, and excellent organizational and problem-solving skills.

Key duties and responsibilities

Customer Service

• Client communication: Serve as the main point of contact for clients, providing timely updates on shipment status, handling inquiries, and resolving service issues proactively.

• Quotation and booking: Prepare and provide accurate quotes to clients and overseas agents based on freight rates, and arrange bookings with airlines, trucking companies, and overseas partners.

• Problem-solving: Address and resolve logistical problems, such as transit delays or documentation discrepancies, to minimize disruption and maintain customer satisfaction.

• Relationship management: Build and maintain strong relationships with clients, airlines, and third-party logistics providers to ensure seamless coordination.

Documentation and operations

• Process shipments: Coordinate and manage all aspects of air freight, including booking, preparing transport documentation, and customs clearance.

• Prepare and verify documents: Accurately create and process all necessary shipping documents, such as Air Waybills (AWB), commercial invoices, and customs-related paperwork.

• Ensure compliance: Verify that all documentation is complete and accurate, ensuring full compliance with international regulations (e.g., IATA, customs requirements).

• Data entry and tracking: Enter and update shipment data in the company’s operating system, track shipments, and provide status reports.

• Billing: Compile and verify costs associated with shipments to ensure accurate and timely billing for clients and payment to carriers.

Administrative tasks

• Reporting: Prepare reports on shipment performance, profitability, and customer feedback for management.

• System maintenance: Maintain accurate and up-to-date client and shipment records in the company’s customer relationship management (CRM) system.

Skills and qualifications

• Air freight knowledge: Strong understanding of air freight processes, regulations, and terminology (e.g., Incoterms, IATA).

• Communication skills: Excellent written and verbal communication skills for effective interaction with clients, carriers, and internal teams.

• Organizational skills: High level of organization and meticulous attention to detail to manage multiple tasks and critical documentation.

• Problem-solving skills: Strong analytical and problem-solving abilities to handle unforeseen challenges effectively.

• Technical proficiency: Proficient in Microsoft Office (Word, Excel, Outlook).

• Experience: Previous experience in a combined customer service and documentation role within the freight forwarding industry is generally required.
