We are seeking an experienced and dynamic Operations Manager to oversee and optimize our freight forwarding activities. The ideal candidate will be responsible for leading our sea export operations while ensuring compliance with all regulations. This role involves managing daily activities, enhancing operational efficiency and customer satisfaction, and developing a high-performing team. You will also be tasked with negotiating rates with carriers, handling documentation, and resolving logistics challenges to ensure the timely and cost-effective movement of goods.

Key duties and responsibilities

Operational oversight

• Manage shipments: Supervise and coordinate all import and export freight movements from origin to destination.

• Monitor performance: Track key performance indicators (KPIs) and analyze operational performance to identify areas for improvement.

• Optimize processes: Develop and implement strategies to increase productivity, improve quality, and enhance overall operational efficiency.

• Handle documentation: Ensure all customs and shipping documentation, such as invoices, bills of lading, and shipping statements, are accurate and processed correctly.

Team and resource management

• Lead the team: Provide leadership, guidance, and support to the operations team, which may include freight specialists, dispatchers, and coordinators.

• Manage staff performance: Conduct performance reviews, oversee training, and manage employee relations to foster a high-performing team.

• Control budget: Plan and manage the department’s budget, including expenses for transportation and acquisitions.

Customer and vendor relations

• Ensure customer satisfaction: Address customer inquiries and complaints, taking ownership of issues and following through to resolution.

• Negotiate contracts: Secure favorable freight rates and service agreements by negotiating with carriers, shipping lines, airlines, and customs brokers.

• Manage vendor relationships: Maintain and develop strong, cooperative relationships with carriers, agents, and logistics providers.

• Expand network: Collaborate with a global network of agents and partners to explore new business development opportunities.

Compliance and risk management

• Ensure regulatory compliance: Stay informed about changes in domestic and international shipping regulations, safety standards, and customs requirements.

• Problem-solve: Address and resolve logistical challenges such as delayed or damaged shipments.

• Enforce policies: Develop, interpret, and enforce company policies and procedures to ensure consistency and compliance.

Skills and qualifications

• Managerial experience: Proven experience in a similar managerial role within the logistics or freight forwarding industry.

• Industry knowledge: Strong understanding of logistics processes, modes of transportation (sea, air, road), and customs regulations.

• Leadership skills: Ability to motivate, manage, and develop a team.

• Negotiation skills: Demonstrated ability to secure favorable rates and agreements with carriers and vendors.

• Problem-solving skills: Excellent analytical and problem-solving abilities to address challenges effectively in a fast-paced environment.

• Communication skills: Excellent written and verbal communication skills in English for collaborating with internal teams, clients, and external partners.

• Technical skills: Proficient in Microsoft Office (Word, Excel, Outlook).

• Educational background: A bachelor’s degree in Logistics, Supply Chain Management, or a related field is often preferred.
