We are seeking a proactive and detail-oriented Sales Support Coordinator to join our freight forwarding team. The successful candidate will provide essential administrative and operational assistance to our sales team, playing a key role in managing customer inquiries, preparing accurate and timely quotations for air and sea freight, and coordinating with operations to ensure seamless shipment execution. The ideal candidate will be a motivated and customerfocused individual with a strong understanding of freight forwarding processes, ready to contribute to our continued growth.
Key duties and responsibilities
Customer and sales support
• Serve as the primary internal contact for sales representatives and customers, responding to inquiries via email or phone.
• Provide timely and accurate information to clients regarding shipping statuses, documentation, and processes.
• Maintain accurate records of client interactions, quotations, and transactions in a customer relationship management (CRM) system.
• Assist with customer service tasks and resolve issues related to shipment delays, customs complications, and client concerns.
Rates and quotations management
• Gather competitive freight rates for air and sea transport from carriers, airlines, and coloaders.
• Regularly update pricing databases with current market rates and exchange rates.
• Prepare and generate quotations and proposals for potential and existing clients.
• Manage costing and spot quotations based on client requests.
Documentation and operations coordination
• Prepare, review, and manage essential shipping documents, such as bills of lading, commercial invoices, and customs declarations.
• Coordinate with shipping lines and internal logistics teams to book cargo space and manage shipments.
• Communicate and coordinate with customs brokers, trucking vendors, and overseas branches to ensure seamless operations.
• Track shipment progress and provide regular updates to customers and internal teams.
Account management and administration
• Assist in the introduction and follow-up of sales leads and customer requests.
• Support the sales team in achieving their sales targets.
• Manage and monitor client accounts, including following up on outstanding payments and preparing statements.
• Input and update client and supplier data in the company’s logistics system.
Skills and qualifications
• Experience: Previous experience in freight forwarding, shipping, logistics, or a related field is often required.
• Communication: Excellent written and verbal communication and negotiation skills are essential for interacting with clients and partners.
• Organization: Strong organizational and multitasking skills are needed to manage high volume administrative work.
• Technical Skills: Proficient with Microsoft Office (Word, Excel, Outlook).
• Attention to Detail: A high degree of accuracy is critical for handling complex documentation and pricing
